Conveo’s permissions system gives you complete control over who can access and modify your research. You can set organization-wide roles, share individual studies with specific people or teams, and manage billing access independently.

Key Concepts

Organization Roles: Baseline permissions that apply across your entire workspace (Admin, Member, Viewer). Study Sharing: Grant specific people or teams access to individual studies with different permission levels. Teams: Groups of users that can be granted collective permissions. Share once with a team instead of individually. Permission Inheritance: Users get the highest level of access from any source - organization role, individual shares, or team memberships.

Study Sharing Roles:
  • Full access: Share, delete, edit, view
  • Editor: Edit and view

Organization Roles

Organization roles determine baseline permissions across your workspace, assigned when you invite members.

  • Member: Create and launch studies, cannot manage organization

How to Assign

  1. SettingsOrganizationMembers
  2. Click Invite
  3. Enter email and select role
  4. Click Send Invite
You need Admin permissions to invite members and change roles.

Sharing Studies

Grant specific permissions to individual studies beyond organization roles.

Automatic Full Access:
  • Organization admins (all studies in organization)

How to Share

  1. Open the study
  2. Click Share
  3. Enter email or select a team
  4. Choose role (Full access, Editor, or Viewer)
  5. Click Share
Best Practices:
  • Use Full access sparingly - only for those who need to manage sharing
  • Default to Editor for active collaborators
  • Use Viewer for those who just need visibility
  • Share with teams rather than individuals when possible

Teams

Groups of users that receive collective permissions to studies.

Benefits

  • Efficiency: Share once instead of multiple times
  • Consistency: All members get the same access
  • Flexibility: Users can belong to multiple teams
  • Automatic: Permissions are additive - highest access wins
Example:
User with Viewer individually + Editor via team = Editor access

Create a Team

  1. SettingsOrganizationTeams
  2. Click Create Team
  3. Enter name and optional description
  4. Click Create
Requires Admin permissions.

Add Members

  1. Open team from SettingsOrganizationTeams
  2. Click Add Members
  3. Select users
  4. Click Add

Share with Teams

Same as sharing with individuals - select the team name instead of entering an email.

Billing Account Permissions

Manage access to payment methods and subscriptions with three distinct roles.

  • Manager: Complete billing control including payment methods and subscriptions
  • Approver: Can approve spending, cannot modify payment settings
  • Requester: Can request spend (requires approval), view transactions only
Default Access:
  • Organization admins automatically have Manager permissions
  • All other users need explicit access

Grant Access

  1. SettingsOrganizationBilling
  2. Select the billing account
  3. Click Share or Manage Access
  4. Add users or teams with appropriate role
  5. Click Save

Troubleshooting

Can’t see a study you should access?
  • Verify you’re in the organization
  • Check if shared with you individually or via team
  • Confirm your organization role (Viewers see all studies)
Can edit but can’t share a study?
  • You have Editor access, need Full access to share
  • Ask someone with Full access to upgrade your permissions
Team members not seeing shared studies?
  • Verify they’re actually in the team (Settings → Organization → Teams)
  • Confirm study was shared with correct team
  • Try refreshing browser
Admin but can’t access a study?
  • Verify you’re an Admin (Settings → Organization → Members)
  • Confirm study belongs to your organization
  • Try refreshing browser
Can’t approve spend on billing account?
  • You need Approver or Manager access
  • Requester role can only request spend and view transactions
